Ontario Employment & Income Verification Checklist for Landlords

Use this printable checklist to organize employment and income verification during an Ontario rental application. Income information should be considered lawfully and in context with other available screening information—not converted into an arbitrary rent-to-income rejection rule.

Income Is Only Part of Tenant Screening

Ontario Human Rights Commission guidance places limits on the use of income information in rental decisions. A landlord should not reduce screening to a fixed income ratio. Available rental history, credit references and credit checks can also form part of a bona fide screening process.

Applicants With Non-Traditional Income

Self-employed people, retirees, students, newcomers, contract workers and others may not have a conventional employer letter or pay-stub pattern. A consistent process should allow reasonable ways to substantiate legitimate financial information without creating discriminatory barriers.

Protect Applicant Information

Income and employment documents can contain substantial personal information. Collect only what is reasonably necessary, restrict access, store it securely and avoid retaining unnecessary identifiers or unrelated financial details.

Employment & Income Verification FAQ

Can an Ontario landlord ask for income information?

Income information can form part of tenant selection, but Ontario human-rights guidance restricts how it should be used. It should not become an arbitrary rent-to-income rejection formula.

Can I require a specific type of job?

Screening should focus on legitimate tenancy-related criteria rather than assumptions about occupations, employment models or protected characteristics.

What if an applicant is self-employed?

Consider reasonable alternative ways of verifying legitimate financial information instead of requiring documents that only conventional employees can provide.
